Privacy Policy

This policy explains what KidHive, LLC. ("KidHive," "we," or "us") does with information when you use the KidHive web app and the services connected to it (together, the "Service"). It's written to be read, not skimmed past — if anything here is unclear, reach us at info@KidHive.co.

KidHive helps grown-ups find and book activities for the kids in their lives. We connect two groups: the parents and caregivers who use it ("you" or "Parents"), and the businesses that run children's activities ("Providers"). One ground rule shapes everything below: only adults 18 and older can hold a KidHive account. Children never sign in or use the Service themselves. The only information we ever hold about a child is a first name and a birth year, and a parent provides it — never the child.

The short version

  • We collect what you give us (your account details; your child's first name and birth year), payment information when you book, and a layer of technical data that comes with using any web service.
  • We use it to run the Service, help you find and book activities, process payments, keep things secure, and — unless you opt out — send you marketing.
  • We don't sell your data. We share it with vendors who help us operate (including our payment processor, Stripe), and — when you book an activity — we share your child's first name and birth year with that specific Provider so they can run it.
  • Anything about a child is collected only from you, kept to a first name and birth year, and never used for advertising.

The sections below spell all of this out.

1. What we collect

From you, directly. When you set up and use an account, we receive your name, email, phone number, and password, plus whatever profile detail you add (your city or zip, for example). If you want personalized suggestions or want to book an activity, you can add a child to your account. The only information we collect about a child is their first name and birth year, and you provide it. We use the birth year to calculate the child's current age so we can match them to age-appropriate activities — we don't store a separate age, grade, or other detail, and the child's age updates on its own as they get older. Messages you send our team and similar contributions are collected too.

When you sign in with Google or Facebook. You can create or access your account using Google or Facebook single sign-on (OAuth). When you do, we receive basic profile information from that provider — typically your name and email address — as permitted by your settings with them. We don't receive your Google or Facebook password, and we use this information only to create and secure your KidHive account. Your use of those services is governed by their own terms and privacy policies.

When you book and pay. When you book an activity, we collect the booking details (the activity, session, and the child it's for) and process your payment through our payment provider, Stripe. KidHive is not the merchant of record and does not store your full card number; Stripe handles card data under its own privacy terms. We keep a record of your bookings, refunds, and the limited payment metadata we need to operate the Service (such as confirmation that a payment succeeded).

About children — and why it's handled differently. Children don't have accounts, so we never gather anything from a child directly. The only child information we hold is a first name and a birth year, provided by a parent or legal guardian, used to suggest activities and to confirm a child fits an activity's age range. Because this may relate to children under 13, we treat all of it as covered by the Children's Online Privacy Protection Act ("COPPA"). In practice that means we collect it only from a parent, keep it to the minimum (a first name and birth year), apply high-privacy defaults, never use it for advertising, and never share it with outside companies for their own marketing. When you book an activity, the child's first name and birth year are shared with that one Provider so they can run the activity (see Section 3). You're in control: contact info@KidHive.co any time to review, delete, or stop the collection of your child's information. You can also use the Service without adding a child — your suggestions just won't be as tailored, and you'd add a child's details at the point of booking.

About Providers. For the businesses listed in the Service, we pull together details that are already public — name, address, phone, website, what they offer, schedules, pricing, and marketing photos. Providers who claim a listing can add more themselves, including the information needed to verify their business and set up payouts through Stripe. Any Provider can ask to be removed or to have their information deleted by writing to info@KidHive.co.

Automatically, as you use the Service. Like most modern web services, ours records some technical information on its own: the device and browser you're on, log details such as IP address and the pages or screens you open, your approximate location (from your IP) or precise location (only with permission — see Section 4), and how you interact with features. Section 6 covers the cookies and similar tools behind some of this.

2. Why we use it

Everything we collect goes toward a defined purpose: setting up and running your account; helping you discover, book, and pay for activities; calculating a child's age from their birth year to match them to age-appropriate activities; processing payments, refunds, and KidHive's platform fee through Stripe; improving and securing the Service; answering your questions; sending you service messages like booking confirmations, reminders, security alerts, and account notices; spotting fraud and abuse; and meeting our legal obligations and enforcing our terms. Marketing is part of this too, but only on your terms (Section 5). One firm line: a child's information is never used for targeted or behavioral advertising — full stop.

3. When we share it — and when we don't

We do not sell your personal information. Sharing happens in a short, specific list of situations:

Vendors who work for us. Companies that handle hosting, analytics, email and push delivery, customer support, and payments may process your information on our behalf. In particular, Stripe processes payments and payouts. They're bound by contract (or their own terms, in Stripe's case) to protect your information and use it only for the services involved — nothing of their own.

The Provider you book with. When you book an activity, we share what that Provider needs to deliver it: your contact details and the booked child's first name and birth year. That information is attached to your specific booking and is visible only to the Provider hosting it — not to other Providers. We don't share your child's information with any Provider you haven't booked.

A business change. If KidHive is ever merged, acquired, financed, reorganized, or sold (including in bankruptcy), your information may move with the business. If that ever materially changes how your data is handled, we'll tell you by email or a clear notice in the Service.

Law and safety. We may disclose information when the law requires it, or in good faith to protect KidHive, our users, or the public, or to investigate possible wrongdoing.

4. Location

Location helps us show what's nearby and tailor suggestions and offers. Precise location is opt-in: we'll only collect it when a specific feature you've requested genuinely needs it, and only for as long as that feature is running — with a visible on-screen signal while it happens. We don't turn on precise location by default for anyone who is, or is likely to be, a child. You can withdraw location permission any time in your browser or device settings (some features may work less well after that), and even without precise location we can fall back to the rough location your IP or zip implies.

5. Marketing — and turning it off

Creating an account opts you into marketing from us: emails about nearby activities and deals, in-app suggestions, and push notifications if you've enabled them. You can step out any time — use the "Unsubscribe" link in any marketing email or adjust your notification preferences in settings. Note that essential, account-related messages (booking confirmations, receipts, security alerts, and the like) will still reach you, since they're part of running your account rather than marketing.

6. Cookies and similar technologies

We and a few partners use cookies and comparable tools to keep the Service working, remember your preferences, and understand how the Service is used so we can improve it. They fall into three groups: essential ones the Service needs to function, functional ones that remember your settings, and analytics ones that show us how people use it (Google Analytics, for example). We do not use cookies for third-party or cross-context behavioral advertising, and we don't apply analytics cookies to anything that relates to a child. Your browser settings let you block or delete cookies, and we honor recognized opt-out preference signals (such as Global Privacy Control) where applicable. 7. How long we keep it

We hold your information while your account is active and for as long as we need it to run the Service, then delete or de-identify it — except where law, a dispute, a financial-record obligation, or our agreements require us to keep it longer. When you ask us to delete your data, we'll confirm we received the request within 10 business days and complete verifiable requests within 45 days. If we ever need more time, we may add up to another 45 days and will explain why within that first window.

8. Your choices and rights

Wherever you live, you can ask us to: show you the information we hold about you; correct anything inaccurate (you can also edit much of it in settings); delete your data; give you a portable copy; or, where we rely on your consent, withdraw it going forward. You can also opt out of marketing any time, as described above.

To make a request, email info@KidHive.co (you can also start a request from your account settings). We'll verify who you are first, and we won't treat you any differently for asking.

Categories of information we collect. For transparency (and to meet California's disclosure requirements), the categories of personal information we collect are: identifiers (such as name, email, phone number, and account details, including basic profile data from Google or Facebook sign-in); your child's first name and birth year; commercial information (your bookings and refund history); internet and device activity (log, usage, and analytics data); approximate or, with permission, precise geolocation; and the payment information needed to process a transaction (handled by Stripe). We use these for the purposes described in Section 2, share them only as described in Section 3, and do not sell them or share them for cross-context behavioral advertising.

If you live in California, the CCPA (as amended by the CPRA) adds a few specific rights: to know what we collect and how we use and disclose it; to delete or correct your information; to opt out of the "sale" or "sharing" of personal information (we do neither); to limit how we use sensitive personal information, which for us can include precise geolocation; and to exercise all of this without being penalized. 9. Children's privacy, in plain terms

This is the part we take most seriously. Children don't have KidHive accounts and don't use the Service. The only information we hold about a child is a first name and a birth year, and it always reaches us through you — to suggest activities, confirm an age range, and pass to a Provider when you book. We treat that information as COPPA-covered: we never collect it directly from a child under 13, we never advertise to it, and we never sell or share it except with the Provider you book (as described in Section 3). As the parent, you can review it, delete it, or shut off further collection any time at info@KidHive.co.

For younger readers: we only know your first name and the year you were born, and we get that from your parents so we can show you fun things to do. We keep it safe and never sell it — and you or your parents can ask us to delete it whenever you want.

If we ever learn we've picked up a child's information any way other than through a parent as described here, we'll delete it right away. Think that's happened? Tell us immediately at info@KidHive.co.

10. Where your data lives

KidHive is built for users in the United States, and that's where your information is stored and processed. If you use the Service from elsewhere, know that your data will come to the U.S., where privacy laws may differ from your own — and by using the Service, you're okay with that transfer.

11. Security and breach notice

We use commercially reasonable safeguards to protect your information, but no app or storage system is perfectly secure, so we can't promise absolute protection — and keeping your password confidential is on you. We do keep watch for security incidents, and if a breach ever affects your personal information, we'll notify affected users and regulators as the law requires, without undue delay. 12. Other sites and services

The Service may link out to third-party sites and services (including Stripe for payments, and Google or Facebook for sign-in). Their privacy practices are their own and aren't covered here, so it's worth reading their policies before you share anything with them.

13. Updates to this policy

We'll revise this policy as the Service evolves. When changes are material, we'll update the "Last revised" date above and, where it makes sense, email you or post a clear notice in the Service before the change takes effect. Continuing to use the Service afterward means the updated policy applies — and where a material change is incompatible with why we originally collected your data, we'll ask for your affirmative consent if the law requires it.
